TREMS AND CONDITIONS
Booking and reservations process can be made by e-mail or phone along with a non-refundable deposit of 30% of the total package price per person, paid via WESTERN UNION or PAYPAL. Once we have received your reservation details and the deposit payments, your confirmation e-mail will be sent to you. This email will include: confirmation of your trip, pre-departure information, and the receipt for the payment received. Last-minute bookings must be paid in FULL. All reservations must include the necessary information below. It is the client’s responsibility that all personal and flight information are correct.

- Scanned ISIC student card (just for students)

Each client has to send his/her personal information correctly. Mapi Tour Peru is not responsible for erroneous data and any cancellations or additional charges that may arise from incorrect information supplied by passengers.

A deposit of 30% must be done at the time of booking. The final balance must be paid 48 hours before your package tour or trek begins. If the payment is NOT received within the indicated time as stated above after making the reservation, then we reserve the right to cancel your reservation.

- Any additional services
- Airport taxes
- Excess luggage
- Personal expenses
- We strongly recommend all passengers have travel insurance.
RESERVATION OF FLIGHTS
Reservations of international and domestic flights are subject to 100% payment immediately upon confirmation of reservations.
Cancellations of airline tickets are according to the cancellation policies of the specific airline used for your flights.
In case of cancellation or flight changes, Mapi Tour Peru will charge USD $50.00 for each ticket for administration costs.
NAME CHANGES ON AIRLINE TICKETS
Any name change, including minor spelling corrections, may require airline reservations to be canceled and rebooked. Reservations are subject to current availability and pricing at the time of rebooking. Penalties are according to the airline’s policies.
Mapi Tour Peru will charge USD $50.00 administration cost for any ticket change.
CANCELLATION OF TOURS, TREKS OR FLIGHTS
Mapi Tour Peru accepts only written cancelations. Email your cancellation including your full name and date of travel and the reservation code of your tour. If you do not receive our confirmation within 48 hours, call our office to make sure your cancellation was received. Any cancellation made before or during the tour incurs a loss of 100% of the total price.
Cancelations of flights: Once payment is received, airline tickets will be purchased and are fully non-refundable. Mapi Tour Peru will charge USD $50.00 administration cost for any ticket change, in addition to any cost charged by the airline.
CHANGES AND REFUNDS
Passengers who voluntarily give up any service included in the program will not receive any kind of refund.
Mapi Tour Peru reserves the right to alter the programs.
Changes to existing reservations, for whatever cause, incur a $50 administration fee per person plus any additional supplier fees. This includes name changes and removal of any services such as optional tours and transfers.
All rooms are standard, double-bed rooms with private facilities, unless you have specifically requested and paid for an upgraded room category. A fee may be charged by the hotel for the addition of a cot/rollaway. Hotel check-in time is generally not before 1:00 p.m. and check-out time is prior to noon.
MEALS AND DRINKS
Meals and beverages are included in treks or tours as specified in each itinerary. Meals are based on the hotel’s or restaurant’s buffet or set menu. In general, beverages are not included, and any special dietary requests should be made when you book your trip.
TRANSFERS FROM THE AIRPORT OR BUS TERMINAL
To coordinate your transfers from Lima airport and other destinations, it is crucial to know your international flight details such as:

Each client is responsible for sending the correct arrival and departure times of his/her national and international flights to Mapi Tour Peru to arrange transfer services.
Transfers are provided as indicated for each tour by car, minibus or motor boat. Your arrival transfer is guaranteed for up to one hour from your scheduled arrival time in order to compensate for minor delays. Mapi Tour Peru or the transfer company will not be responsible for flight delays, for any reason, beyond one hour from your originally scheduled arrival time. In case of a delay, whether due to flight delay, immigration and customs, or time spent reporting baggage damage or loss, it will be your responsibility to make other transfer arrangements (such as a taxi).
TOURS AND TREK ITINERARY
Times listed in itineraries are approximate and meant only as guidelines. Some itineraries may have early morning start times for sightseeing/expeditions in order to complete the touring during daylight hours or avoid afternoon heat in tropical and cold climates. It is your responsibility to arrive on time for all scheduled flights and package components. Arriving late may be considered a “no-show,” in which case you will not be eligible for refund for the unused services. Occasionally, during holidays and certain periods, and/or due to unforeseen circumstances including weather conditions, there may be last-minute changes, sometimes after arrival, that affect the sequence of the tour, locations visited and/or hotels. Therefore, we reserve the right to adjust the sequence and/or substitute any hotels with others of a similar category. In such cases, there will be no cost adjustment.
We do not provide any travel insurance. It is the client’s responsibility to get adequate personal travel insurance before coming to Peru. The insurance must include personal accident, medical expenses, air ambulance, loss of personal effects, repatriation costs and any other expenses which may arise as a result of loss, damage, injury or inconvenience to the client.
If you are planning to participate in any activity considered “risky” by the insurance company e.g. trekking, climbing, rafting, etc. – make sure that these are included in your policy. Please bring a copy of the policy document with you. If a client becomes ill, we will do everything necessary to get him/her proper medical treatment, including evacuation from remote sites and hospitalization if necessary but these costs will be assumed by the individual client.
You must be in general good health to join any of our trips. Our tour leaders and guides are authorized to disqualify any client who they believe is unfit for the demands of the trip. In this case, refunds will not be given. Mapi Tour Peru provides a first-aid kit for each trip; however, it is the responsibility of each client to bring specific medications they need.
RETURN TRAIN TO CUSCO
The Expedition Class train leaves Aguas Calientes at 16:43 pm and arrives at Poroy (20 minutes from Cusco) at 20:13 pm (times are approximate). The Expedition service no longer runs direct to Cusco and transfer is required from Poroy to the city of Cusco. We provide transfer assistance from the Poroy station to your hotel.
In high season, the trains get booked up and therefore, we will reserve the Expedition train for a different time, however, this train ends in Ollantaytambo. Transfer assistance to Cusco and your hotel is included.
VISIT OUR OFFICE
Come to our Cusco office 48 hours before your trip to coordinate your pre-departure briefing and pay your final balance. If for health reasons (such as strong altitude sickness symptoms), you cannot come to our office, give us a call to come to your hotel.
Mapi Tour Peru is not responsible for additional expenses caused by loss, theft, injury, damage, accident, malfunctions, cancellations, delays or any other unforeseen events. Please note that itineraries are subject to change or cancelation due to unforeseen and unusual events beyond our control, including weather conditions, flight delays, buses or train problems, political disputes or similar occurrences. We will do our best in these circumstances to re-accommodate you. All such losses or expenses will be the responsibility of the customer – we therefore recommend having travel insurance with coverage for any of the events mentioned above. Any unused activities or benefits, which are included in your package, are non-refundable.
